Challenge
Customer orders were submitted via email with attached documents in various formats - including PDFs, Excel sheets, and scanned forms. These orders often used item names or descriptions that didn’t match the company’s internal product master data in SAP. Since customers controlled the format and terminology, the company had little ability to enforce standardization. This led to manual cross-referencing, increased error risk, and slower processing - especially under high order volumes.
Solution
We implemented a Generative AI-powered solution that ingested emails and parsed attached documents to extract structured order data such as item SKUs, quantities, and delivery instructions. The solution used fuzzy matching and contextual AI to intelligently map non-standard item names to the correct entries in the SAP product catalog. Human-in-the-loop verification was built into the workflow, allowing staff to review and correct any mismatches. These verified mappings were stored in a reference database, enabling the system to learn over time and automatically recognize frequently ordered items in future transactions. Once validated, the extracted data was sent via automation to SAP, where the order was created automatically - completing the process without manual intervention.
